Creating a coherent ecosystem
At Robidus, I worked on transforming a fragmented landscape of legacy applications into a coherent design system. My role spanned from establishing a shared UX foundation to designing core workflows used daily by casemanagers.
Context
Robidus supports organisations and employees during long-term absenteeism. Casemanagers play a central role in this process and rely heavily on digital systems to manage communication, planning and case progression.
At the start of this project, Robidus operated more than twelve different internal systems, each with its own interface, interaction patterns and terminology. The main application was HrControlNet which conained almost everything what everyone needed within the company. In those 12 years a designer has never looked at this application. This was a huge legacy system.
This resulted in:
- Inconsistent user experiences across systems
- High cognitive load for casemanagers
- Manual workarounds (Excel, email, personal notes)
- Limited overview and poor continuity in daily work

Scope of work
The engagement consisted of several closely connected initiatives, each addressing a different layer of the ecosystem
Raising awareness
Improve the awarness of UX within the organisation.
UX & Design Foundation
Establishing a shared design and interaction foundation to align existing and future applications.
Setting up a workflow
Creating a seamless workflow between ideation, design and development.
New application
Creating the start of a new application to let go of the 12 years old heratige.
My Role
I worked closely with casemanagers, product owners, managers and a system designer. My responsibility was not limited to individual features, but focused on improving the overall usability, consistency and scalability of the case management environment..

Approach
User-centred research
Through interviews, day-in-the-life sessions and workshops with casemanagers, I mapped daily workflows, pain points and decision moments.
Co-creation & validation
Key users were actively involved in shaping solutions, validating concepts early through sketches and prototypes.
Designing within constraints
Solutions had to work across both legacy systems and a new casemanagers application, without disrupting ongoing operations.
Consistency by design
Every solution contributed to a shared UX foundation, enabling reuse and long-term coherence.
